- That the facility is available.
- That necessary custodial coverage can be arranged.
- That the intended use is for an event compatible or not in conflict with YWCA goals and program priorities.
- The YWCA, and YWCA name may be mentioned in meeting and event notices for location information only, and in as small print as possible. When the Wade Center or Vachon Room is rented, the meeting announcement should use the room name, follwed by "at the YWCA". No outside banners or signs may be used to advertise your meeting or event. Not available for fundraising events or sales of products or services.
- That no alcoholic beverages be served.
- That the rentor assume responsibility for the behavior of those in attendance.
- That the rentor secure the room reservation with a $50.00 non-refundable deposit. Refundable only if the rental is cancelled more than 30 days before the event, or if the YWCA closes due to a storm. The deposit is applied to the rental charge providing there are no extra staff charges, damage, and/or set-up, break down, or cleaning charges.
- There is no smoking permitted in the YWCA facility or on YWCA grounds.
- YWCA facilities are not available for fundraising events of other groups.
- All set-up/break down and after event cleaning is the responsibility of the rentor. (Upon request and at an extra charge, this service may be available with ample advance notice)
- Use of furnishings: room rentors are welcome to use YWCA tables, chairs, and equipment for their rental as long as we know in advance what is needed. The rentor must take responsibility for leaving the furnishings and equipment in good condition. The Vachon Room has separate furnishing use policies because of the Thomas Mosher furniture in the room. The tabletops must be fully protected when they are used, and any spots that appear on the wood or upholstered chairs and carpet after an event will be removed at the rentor's expense.
- Curtains: If you rent the Wade Center or Vachon Room and you need to close curtains, please use side ropes to do so. Do not pull curtains by hand because this will damage the curtains.
- Food and beverages: The YWCA has soda, juice, and snack machines available to the public. Those preparing their own cold snacks may use the kitchen for no extra fee for meeting rentals. For longer rentals, or if any of the appliances are necessary there will be a small extra charge. The kitchen must also be cleaned up after use by the rentor.
